The KPIs That Actually Matter

The workbook organizes 13 ABA practice KPIs into three areas, each answering a different question about your practice:

  • Vitals: Is the business fundamentally solvent?
  • Bloodwork: Is money flowing the way it should?
  • Fitness: Is your team’s time being used well?

The full workbook also covers payer concentration, unit economics per billable hour, billing cadence, BCBA and RBT billable utilization, and five practice-specific KPIs for tracking growth and capacity.

In short: according to Flychain’s ABA KPI Workbook, an ABA practice should look more closely at its finances if it has less than two months of payroll in cash, gets 40% or more of its revenue from a single payer, loses money on each billable hour, has a gross margin under 39% or a net profit margin under 9%, or spends more than 56% of total operating revenue on direct (clinical) labor or more than 11% on admin labor. On the revenue cycle, the warning signs are a denial rate over 6%, a first-pass clean claim rate under 90%, more than 50 days in accounts receivable, or billing less often than weekly. For clinical utilization, they are a cancellation rate over 12%, BCBA billable utilization outside 65–75% of paid hours, or RBT billable utilization outside 85–95%.

Why This Matters for Your Practice

By the time a problem shows up in your bottom line, it’s been building for months.

KPIs are your early warning system. A practice can have an excellent gross margin and still land in “needs work” once admin costs and overhead are counted. A rising denial rate or a growing pile of 90+ day receivables can quietly drain cash long before it shows up on the P&L.

Measuring your practice consistently, against clear KPI benchmarks, shows you exactly where you’re strong and where money may be slipping through the cracks. Then you can fix the root cause, not just the symptom.

About the Benchmarks

The KPI benchmarks in this workbook were developed by Flychain’s CFO Services team with Amer Maqboul, President & CEO of Blueprint Behavioral Advisors. They reflect typical ranges for independent ABA practices.

The workbook is a fillable PDF built around reports your practice already has, so there’s no new software to set up. Grab your latest closed P&L, set aside about 30 minutes, and you’ll have a clear picture of your practice’s financial and operational health.
